The following information is an extract from the PME (Property Management Excellence) manual, chapter 2.5 which forms part of the PME system. The PME system is a service provided by Real Estate Excellence.
- Set goals and tasks such as;
- Follow up requirements (how often are you going to ‘touch’ the prospective client)
- Carry out research to collect useful information for database emails such as new developments in the area, news stories relating to real estate sales and or rentals, plus market information and suburb/area news

- www.couriermail.com.au and www.brisbanetimes.com.au or any relevant local websites in your area
- Check RTA (or your equivalent state body for tenancy) website each month *such as 23rd – set up monthly recurring task
- Use the vast array of information available on the RTA website to assist in educating tenants and lessors plus for content in the agency newsletter. Ensure that the source for where information is obtained from is referenced.
- Subscribe to the RTA ( or relevant state body) free updates which are sent to you via email
- Utilise the landlord information sheets provided by Real Estate Excellence every month as part of Membership services. All you need to do is add any minor additional information to personalise and insert your agency logo
- Phone up to 5 existing lessors per day using script suggested in chapter 2.7 of PME
- Email on the 30th of each month to database as stated above – set up a monthly recurring task – make meaningful ‘brief’ touches
- Set up recurring task of phoning the warm database
- Set up recurring task of phoning cold database every six months
- Ensure a follow up and follow through system is in place for all potential landlords such as categories of hot, warm and cold.
- Hot landlord database generally means lessors who are ready to commit in under a month
- Warm landlords generally means people who may be ready to commit in three to six month
- Cold landlords generally mean people who are lost managements and or lost opportunities for management.
- A huge key to the secret of growing the rent roll success is simple - follow up and follow through with people plus build and maintain relationships using a consistent system.
